DonatoTomato · For your treasurer

Understand your donation costs and records.

See where gifts are processed, which fees apply, and how to check the records in your own Stripe account. Share this print-friendly brief with your treasurer or board.

1. Where does the money land?

In your organization's own Stripe account. DonatoTomato uses Stripe Connect with direct charges, which makes your organization the merchant of record. We support cards and US bank accounts (ACH), for one-time and new monthly gifts. Bank gifts can take several business days to complete; payouts follow your Stripe schedule after funds become available. Contact hello@donatotomato.com to enable bank gifts.

The money never passes through DonatoTomato. We cannot hold your funds and we cannot delay a payout, because the donation is never in our account. If you ever leave, you disconnect Stripe and the money already collected is unaffected; it was always yours.

2. What are all the fees?

DonatoTomato charges a 1% platform fee per donation, plus Stripe processing fees. DonatoTomato charges no monthly fee and no setup fee, and there is no long-term commitment. Stripe prices card and bank gifts differently, and both are set out below; your connected Stripe account determines the fees actually charged. Your donors are never asked to tip DonatoTomato, and there is no tip line in the checkout.

  • Our 1% is computed on the gift the donor chose to give, collected through Stripe at the time of each donation, and visible per-gift in your dashboard.
  • A monthly gift also carries Stripe's fee for running the repeating charge, which Stripe publishes at 0.7% of each monthly payment as of September 2026 (stripe.com/billing/pricing); your Stripe account may be priced differently. At that price a $100 monthly gift costs $0.70 more than the same gift given once. Stripe charges it to your Stripe account apart from the processing fee, so it appears in your Stripe dashboard on its own line, and it is not yet part of the true net on our Reports page. A one-time gift does not carry it.
  • Stripe prices international cards above the rates in the table, and inside the verified 501(c)(3) program it prices American Express on a different basis, so the exact processing fee, and therefore the net, moves with the card the donor uses. Your Stripe dashboard shows the fee actually charged on every gift.
  • Donors can opt in to add an estimated processing contribution to their charge, so more of their gift reaches you. The estimate uses card rates for card and bank gifts alike. On a bank gift it is more than Stripe's bank price, except on a small gift that uses Stripe's $1.50 instant bank account validation, where it can be less. Our 1% platform fee still applies and is never shown to or charged to the donor.
  • If you refund a gift, our platform fee is returned to your organization as part of the refund; partial refunds return it proportionally. Stripe does not return its own processing fee on a refund, so that cost stays with your organization and is counted in your true net. The Reports page also names it on its own Fees on Full Refunds line, so the drop in net has a cause you can point at.
  • If a donor charges a gift back and the chargeback closes against you, we return our fee on the amount the chargeback took, so a full chargeback returns all of it. You have already lost that money and paid Stripe's dispute fee, so we do not keep a cut of it. A chargeback you win, or an issuer inquiry that closes without becoming one, leaves the gift and the fee where they are.

Bank gifts (ACH). A bank gift is drawn from the donor's US bank account. At Stripe's published bank prices it costs less to process than a card on larger gifts, and the gap grows with the gift: 0.8% per payment with standard settlement, capped at $5.00, or 1.2% with two-day settlement. On a $1,000 gift at standard settlement that is $5.00, or $6.50 if Stripe's $1.50 instant bank account validation applies, against $22.30 at the verified 501(c)(3) rate for a domestic card other than American Express. A bank account does not expire the way a card does, so a monthly bank gift does not lapse at a card's expiry date.

Stripe also publishes $4.00 per failed payment and $15.00 per disputed payment. All the bank prices above are Stripe's published US prices as of September 2026 (stripe.com/pricing/local-payment-methods); your Stripe account may be priced differently. You do not pay our 1% on a bank payment that fails, and Reports lists the cost of each failed bank payment, with the donor, campaign and date, on a separate Failed bank payment expenses card, apart from your gift totals.

After the debit starts, a bank payment takes up to 4 business days to succeed or fail. Donors get an email when their payment is submitted and another if it does not complete, and their receipt follows once it completes. Bank refunds are for the full amount only, take up to 3 business days, cannot be canceled, and can fail if your available Stripe balance does not cover them, so check it first. Under ACH rules a bank dispute filed within the normal window is final and cannot be contested; as with a card chargeback that closes against you, we return our 1%, and since a bank dispute always takes the whole payment, that is all of it.

3. Check donations against your own Stripe records.

Review giving reports and export records for your books. You can also inspect payments and payouts in the Stripe account your organization controls.

  • Your own Stripe dashboard is the primary record. Every charge, every fee, and every payout appears there to the cent, under your organization's own login. Compare any gift against what we report, any morning you like.
  • Our Reports page itemizes the same math: gross donations, the DonatoTomato fee, processing fees, and the net after those fees, with refunds called out. Each gift exports to CSV with its campaign, payment method, gross, fees and net, ready for your books. Stripe's fee for running monthly gifts is not yet in those figures or in the export, so on a monthly gift the net shown is before that fee; find it in your Stripe dashboard.
  • See a sample accounting dashboard and open the demo to explore the Reports page with sample data. No account needed.

4. Data, records, and the exit door

  • Card numbers and bank account numbers never reach DonatoTomato. Stripe collects them, and Stripe is PCI DSS Level 1 certified; we store a Stripe reference token, not card or bank account numbers.
  • Donor and gift records export to CSV at any time, so your records stay portable for bookkeeping, audits, or moving to another tool. Your records leave with you: for 90 days after an account closes we will also send a full export on request.
  • The WordPress plugin adds no donor or payment records to your site's database. The donation form loads from DonatoTomato.
  • Completed gifts trigger branded receipts. Tax-deductible gifts to eligible organizations include your organization's EIN and the "no goods or services were provided" statement for the written acknowledgment.

The longer-form version of this page, including refunds, account closure, and data retention, is at donatotomato.com/security.
